Scanning a QR code from a guest's phone at an event entrance

Module in detail

Check-in that survives the eight o'clock rush

The first impression of an event isn't made on stage - it's made at the door. Personal QR code check-in cuts verification to seconds and gives you an accurate headcount at every moment.

Why the entrance is the riskiest point of the day

Most attendees arrive within the first half hour. If names have to be found on a printed list then, a queue forms immediately - and the day begins with the programme running late.

  • Queues

Searching a printed list can take up to half a minute per guest. At four hundred people that's hours of waiting in total.

  • Unclear numbers

Ticking names by hand never tells you how many are inside right now - even though catering and room allocation depend on it.

  • Misuse

A forwarded confirmation email lets anyone in unless the code is unique and single-use.

How check-in runs

The process is simple because the system does the hard part before the event.

  1. 01

    A code with the ticket

After registration or purchase, each attendee receives a unique, personal QR code by email, sized to scan well from a phone screen.

  2. 02

    Scanning at the door

A team member scans from a tablet or phone. The screen shows the name, ticket type and validity instantly.

  3. 03

    Live headcount

Every entry appears immediately in the overview, broken down by entry point and ticket type.

  4. 04

    Post-event report

An exact record of who came in, when and where - exportable after the event.

What you can rely on during the day

Check-in is always tuned to the specific venue and headcount.

  • Multiple entry points

Parallel gates or desks sharing one database - a code can only be used once.

  • Offline mode

If venue connectivity is weak, scanning continues locally and syncs once the connection returns.

  • Ticket-based access

Day pass, VIP, speaker, press - the screen shows immediately where each person may go.

  • On-site registration

Walk-ins can be added at the desk and land in the same list straight away.

  • Badge printing

Badges can be printed at entry so guests can move on without waiting.

  • Session-level checks

For capacity-limited workshops, access can also be verified at the room door.

Guests queueing at the entrance of a conference

You're not left alone on the day

Check-in works when the team knows what it's doing. That's why we rehearse the whole flow before the event and agree what to do in the rare but irritating cases.

  • Test scans and a dry run before going live.
  • A short, practical guide for the colleagues working the desk.
  • An agreed script for lost codes, name changes, plus-ones and late arrivals.
  • Reachable support on the day if anything comes up.

Who needs it most

The larger the crowd and the tighter the start time, the more fast check-in matters.

  • Large conference

Several hundred guests, a narrow window, parallel gates.

  • Closed, invitation-only event

Only people on the guest list get in, verifiably.

  • Multi-day event

Daily entry, with day passes and full passes distinguished.

  • Capacity-limited workshops

Door checks so seats actually go to the people who signed up.

Frequently asked questions

A tablet or smartphone with a camera and a browser is enough. A dedicated handheld scanner isn't required, though it can be used for higher throughput.
